Project Title: Statewide Native American Opioid Summit
Introduction:
The California Consortium for Urban Indian Health (CCUIH) is seeking a highly skilled and experienced professional Event Coordinator to oversee the planning, coordination, and execution of a Statewide Tribal/Urban Indian Opioid Summit, set to take place in June 2025. This Summit, expected to bring together over 100 attendees, will convene key stakeholders, healthcare professionals, tribal leaders, urban Indian health leaders, and community members to address the opioid crisis and explore culturally relevant solutions for American Indian and Alaska Native (AIAN) communities living in California.
Scope of Work:
The Event Coordinator will collaborate with CCUIH staff and partners to ensure the successful planning and execution of the Summit. Responsibilities include, but are not limited to:
- Planning & Coordination:
- Develop and maintain a detailed project timeline for the event.
- Coordinate with CCUIH staff and partners to identify key objectives, themes, and deliverables for the Summit.
- Secure and manage event venue, catering, audiovisual equipment, and other necessary logistics alongside CCUIH and CRIHB staff.
- Event Promotion & Registration:
- Collaborate with CCUIH’s communications team to develop promotional materials and manage online registration.
- Provide timely updates to participants and stakeholders regarding event details.
- Program Development:
- Assist in organizing panel discussions, keynote speakers, breakout sessions, and cultural components including Culture Night.
- Work with CCUIH to create an agenda (1 internal, 1 external) that reflects the Summit’s goals.
- On-Site Management:
- Oversee event setup, registration, and overall flow of activities on event days.
- Troubleshoot and resolve any on-site issues promptly.
- Post-Event Activities:
- Gather and analyze feedback from participants.
- Provide a final report summarizing event successes, challenges, and recommendations for future events.
Qualifications:
- Event Planning Experience: Proven experience in event planning and coordination, preferably for large-scale events or conferences.
- Project Management Skills: Strong organizational, communication, and problem-solving skills.
- Experience with Diverse Stakeholders: Proven experience working with a wide range of stakeholders, including tribal leaders, healthcare professionals, government agencies, community organizations, and other key partners.
- Experience in Culturally Sensitive Events: Prior experience working with Indigenous or underserved communities, and a demonstrated understanding of cultural protocols, traditions, and the specific needs of AIAN communities
- Experience with Health or Social Issues: Background in planning events focused on healthcare, public health, or social justice issues (e.g., substance abuse, mental health) is a plus, especially related to the opioid crisis.
- Negotiation and Vendor Management: Strong skills in negotiating contracts with vendors (e.g., catering, AV, venues) and managing relationships with suppliers and sponsors.
